About the Role

Based in Dallas, TX

We’re looking for a highly skilled, resourceful, and detail-driven Executive Assistant to provide seamless administrative and operational support to three C-level executives (CEO, CMO, and CRO) with occasional light support for other C-level executives (COO, CFO & CTO). You’ll be the central hub that keeps our leadership team running at top speed—anticipating needs, solving problems before they arise, and ensuring our executives can focus on strategic priorities.

In this role, you’ll juggle competing priorities, coordinate complex schedules across multiple time zones, protect confidential information, and manage a steady flow of high-stakes communication. You’ll thrive if you’re a master of organization, proactive to your core, and energized by working in a fast-paced SaaS environment.

Essential Functions

  • Executive Support & Calendar Management
  • Earn and maintain trusting relationships with executives and senior leader
  • Lead and manage complex, ever-changing calendars for three executives, ensuring optimal time use and alignment with strategic goals.
  • Schedule meetings, board sessions, investor calls, and key client engagements across multiple time zones.
  • Anticipate conflicts and reprioritize quickly with minimal disruption.
  • Meeting Preparation
  • Champion company best practices in meetings, influence meeting preparation, and own follow-up and deliverables
  • Prepare agendas, briefing documents, and presentation materials.
  • Capture and distribute meeting notes with clear action items and deadlines.
  • Recommend meeting cadences and opportunities for efficiency 
  • Travel & Event Coordination
  • Arrange complex domestic and international travel, including flights, accommodations, ground transport, and itineraries.
  • Manage logistics for offsites, board meetings, and company events.
  • Communication & Correspondence
  • Act as a gatekeeper and liaison for internal and external stakeholders.
  • Draft, proofread, and edit high-quality communications on behalf of executives.
  • Demonstrate understanding of key business initiatives and appropriate business acumen to support executive-level operations
  • Operational Support
  • Manage expense reports, procurement requests, and contract routing with an attention to process efficiency and improvement
  • Support the preparation of board materials, quarterly business reviews, and investor updates with the utmost discretion and timeliness
  • Help improve executive workflows and tools for greater efficiency.
  • Coordinate executive-level cross-functional strategic initiatives, anticipating what is needed proactively as needed

Knowledge & Skills

  • Exceptional calendar management, scheduling, and prioritization skills.

  • High emotional intelligence, diplomacy and discretion.

  • Strong written and verbal communication skills; impeccable attention to detail.

  • High proficiency with Google Workspace, Slack, Zoom, and modern productivity tools (Asana, Notion, etc.).

  • Ability to anticipate needs, pivot quickly, and execute flawlessly under pressure.

  • Strategic project coordination capabilities with strong problem solving skills.

Qualifications

Education

 

  • Bachelor’s degree in Business, Operations, Management or a related field or equivalent work experience.

 

Experience

  • 7+ years of Executive Assistant experience, with at least 3 years supporting multiple C-level executives simultaneously.

  • Proven success in a fast-growth SaaS or technology environment.

  • Experience coordinating across global time zones.

A candidate’s starting base salary will be determined by the specific responsibilities of the role, as well as job-related skills, experience, qualifications, location, and current market trends.
